- Advance notice is required in order for staff to identify and retrieve original material for viewing

- The Archive is closed for approximately two weeks during the Christmas season
The Archive of the Jesuits in Canada can reproduce archival records through photocopying or digitization.
Researchers can request reproductions of archival records from our holdings. Each request will be evaluated by the AJC staff, according to the condition of the material and our technical and technological capacities. The terms of use are stipulated in the Policies and Restrictions.

The AJC does not hold copyrights for all of the records in its collections. It is the responsibility of the researcher to inquire about the copyright terms. The AJC cannot speak for the copyright terms of records in our holdings for which we do not hold the copyrights.
The AJC can transfer archival records, through reproduction processes, to researchers for personal research and study purposes. The photocopies or digitizations are provided for personal research and study purposes only, unless specified otherwise through a separate authorization.
The authorization for the receipt and use of copies is non-transferable, and is provided for the sole project/activity as cited in the agreement provided by AJC. All subsequent diffusion, copying and online access must be the object of a subsequent request to the AJC.
The researcher undertakes to ensure that the mandatory credit line/citation appears in all references to the documents provided.
The AJC can authorize the reproduction of records in its holdings for dissemination and publication purposes, either in print or digital form.

- The following items are prohibited in the Reference Room:
- All food and drink;
- All personal belongings except for a laptop computer and valuable objects. Personal belongings such as coats, backpacks and umbrellas must be left in the designated cloakroom;
- Cell phones must be turned off or silenced while in the Reference Room. Please take calls in the adjacent hallway.
Researchers must:
- Wash their hands before handling records, and refrain from using lotions and products such as Purell-type hand sanitizer;
- Register their arrival and departure in the Reference Room visitor log.
- Researchers must respect the following rules while consulting and handling records:
- All ink markers and pens are prohibited. Please use lead pencils only;
- All photographs must be handled with white cotton gloves. Other types of records may be handled without gloves unless otherwise directed by an AJC staff member;
- Please consult the Reference Room Photography Policy.
Researchers must:
- Consult archival records with utmost care (refrain from leaning on documents; always handle fragile documents carefully; refrain from tampering or writing on original documents, etc.);
- Consult files and records one at a time, respect the original order in which documents are arranged within a file, and refrain from pulling any documents. This is to ensure original order is not disrupted. Please use removable paper flags as place holders;
- Respect the confidential nature of the information contained in documents in the event that such information may accidentally not have been removed from accessible records.
Permission must be obtained from the Archivist prior to taking photographs. The Archive of the Jesuits in Canada (AJC) reserves the right to deny requests or portions of requests. If you need a high resolution copy, please consult staff. The AJC offers imaging services through digitization. Usage fees may apply.
Prior to taking photographs of archival materials or rare books in the Reading Room, researchers need to sign a form agreeing to the following policies and procedures:
- No images may be made of materials that have access or use restrictions.
- Photographs taken in the Reading Room are subject to copyright, privacy, and data protection legislation.
- Taking images of (or photographing) print photographs, negatives, or any other graphic material is not permitted.
- Video and audio recordings are not permitted unless specifically authorized by the AJC.
- All photos must be taken under existing lighting conditions in the Reading Room. Flashes or other lighting equipment are not permitted.
- Researchers may use a camera phone, a tablet or a basic digital camera. Tripods or copy stands are not permitted in the Reference Room unless specifically authorized by the AJC.
- The AJC reserves the right to request copies of the images taken, at no cost to the AJC.
- Photographs taken by the researcher are for personal reference use only. Any use of the copy (print, web, social media, production, or else) requires the written authorization of the AJC and/or the copyright owner. Usage fees may apply.
- When taking photographs of archival materials, researchers are encouraged to also take photographs of boxes and folders to capture the metadata associated with the items. This ensures that the source information is captured along with the content.
